Overhauling workforce management

Propeller’s cloud-based workforce management system is streamlining planned maintenance operations for Arthington Property Services (APS), the in-house contractor for Leeds Federated Housing Association.

The Challenge

Established in 2020, APS is responsible for carrying out planned maintenance works to homes across Leeds, Wakefield and North Yorkshire. The team wanted to upgrade its existing workforce management system, so began a procurement process to explore the options.  

A formal tender saw Propeller come out on top, kickstarting a new partnership to streamline maintenance operations for 1,000 homes each year.

The Solution

Propeller provided its cloud-based workforce management software, which enables APS operatives to be managed remotely, with jobs assigned in real time. Through a mobile app, operatives can access all property details, complete gas and electrical certifications, and update documentation digitally. This information is stored electronically, creating a secure, permanent record of each visit.

Steve Preston, Operations Manager at APS, says: “As soon as we were shown how Propeller works, we knew it would be a good fit for our business. The software had a more intuitive look and feel than our previous system and additional functionality such as on-site certification tools and cost-tracking features.

“The onboarding was excellent and exceeded our expectations. The Propeller team was very communicative throughout. They guided us through every stage and were there in person during mobilisation, which made a huge difference. It only took three months for the software to go live, which was earlier than we’d planned.”

The Results

Following the swift and successful implementation, the benefits of the software were immediate. As well as streamlining job management, the system is supporting wider organisational goals and has strong buy-in from the team.

“Our workforce has taken to the new software quickly, and it’s already helping us to be more efficient and reduce manual processes,” explains Steve. “It’s also helped to win the hearts and minds of our team.

“When we rolled out the previous system, our business was still relatively new, and we didn’t have a clear view of what we really needed. We know exactly what we want and need now, and Propeller aligns perfectly with those aims.  Our operatives can record accurate work times while also capturing other job-related costs, helping us to demonstrate value for money.”

Reflecting the strength of the new partnership, Propeller is also developing additional functionality for APS to integrate external supplier data into the system, such as material costs. This will allow expenses to be automatically recorded against each job and instantly checked against agreed prices.
